When the Attached Documents feature is enabled, if you have permission you can view, upload, download, edit, and delete attached documents, like release forms and licenses. New documents and existing documents that have already been uploaded can be attached. The same document can be attached to multiple assets, and multiple documents can be attached to one asset. Any file type can be added as an attached document.

Attach documents in three ways:

A preview of an attached document will display after it's uploaded. If attached documents do not preview or do not preview properly because your firewall has blocked the site for viewing, contact the Widen Central Support team.

Upload Wizard

Attach documents when you're uploading assets on the Attach Documents page in the Upload Wizard:
  1. Click Upload Document to attach a new document or select from existing documents that you've already uploaded.
  2. Browse for a new document.
  3. Click Next and continue through the upload process.



Asset Details page

To attach documents from the Asset Details page:
  1. Click Attach Document in the Attached Documents section below the asset’s preview.
  2. Click Upload Document to attach a new document or select from existing documents that you've previously uploaded. (Note that if a document has been uploaded as an asset, it will not display in the list of existing documents that have already been uploaded. Choose to upload a document file in this step.)
  3. Click Update.



Links to attached documents appear in the Attached Documents section. Click the link to view and download the document or click the trash can icon to delete it.


Selection panel

To attach documents to assets from the Selection panel:
  1. Add assets to the Selection panel.
  2. Click the More dropdown.
  3. Click Attach documents.
  4. Click Upload Document to attach a new document or select from existing documents that you've previously uploaded. (Note that if a document has been uploaded as an asset, it will not display in the list of existing documents that have already been uploaded. Choose to upload a document file in this step.)
  5. Click Save.



Administrate attached documents

If you're a Widen Collective admin, you can preview, rename, upload, download, edit, and delete attached documents from the Admin app:
  1. Click Attached Documents under Upload Settings in the left navigation.
  2. Click Upload Document to upload new documents; Edit to preview, rename, replace, or download documents; or Delete to remove documents.

To see which assets a document is attached to, click the number in the Assets column.

Attached documents are not assigned to any asset groups, so they cannot be assigned to roles.

Refine searches for attached documents

You can refine search results to search for assets with attached documents by clicking the Has Attached Document option in the Refine Search area.


Permissions

Collective admins must enable these permissions for you to view, upload, and/or administrate attached documents:

  • Access Attached Documents: View and download documents attached to assets.
  • Upload Attached Documents: Attach documents during the upload process.
  • Administrate Attached Documents: Upload, edit, and delete attached documents, and view the asset(s) documents are attached to.

If the Access Attached Documents permission is enabled for your role, you can view and download all attached documents. If the permission isn't enabled, you won't see or be able to download attached documents.


Collective admins can enable or disable the Attached Documents feature at any time on the Features page.
